Set Up Advanced Revenue Summary GL Sync

Connect an Advanced Revenue Summary report to your general ledger, map your chart of accounts, and choose a manual or scheduled sync.

Before you start

Review the prerequisites and the supported general ledger matrix in Understand Advanced Revenue Summary GL Sync before you configure sync. Confirm your destination's attachment and dimension support in Supported General Ledgers for Advanced Revenue Summary GL Sync if you plan to use either.

Implementation order

Follow these steps in order so your report, GL connection, and chart-of-accounts mapping are all ready before your first sync runs:

  1. Enable and configure the Advanced Revenue Summary report.
  2. Confirm your general ledger is connected to Maxio.
  3. Map your chart of accounts to the destination general ledger.
  4. Create a GL Sync configuration.
  5. Choose manual or scheduled sync.
  6. Optionally enable workpaper attachments.
  7. Optionally map dimensions (Class, Department, Location, and similar).
  8. Run and confirm your first sync.

Step 1: Enable and configure the Advanced Revenue Summary report

Advanced Revenue Summary must be enabled for your account by Maxio Support before it appears in Reports.

  1. Contact Maxio Support to enable Advanced Revenue Summary for your account. This isn't a self-service toggle in your own Account Settings.
  2. Go to Reports > Advanced Revenue Summary and configure the report: grouping, revenue book, periodicity, revenue and deferred-revenue account sources, and (if applicable) long-term deferred revenue and FX-restated reporting. Each setting is described in Configure the Advanced Revenue Summary Report.
  3. Run the report and resolve any Attention Needed items. These flag items that are missing an Income, Liability, or Asset account and will block accurate journal entries until fixed.

Step 2: Confirm your general ledger is connected

GL Sync does not create a general ledger connection on its own. It uses a connection you've already set up. Confirm your destination is connected and its credentials are current before continuing; if the connection has expired or was never completed, reconnect it first:

Step 3: Map your chart of accounts

GL Sync resolves each journal entry line from your existing Maxio account records. It doesn't have its own account-mapping screen. Every account used by the report needs the destination-specific ID saved on the matching Maxio account, as described in Manage the Chart of Accounts.

If an account name in the report has no matching Maxio account, or a matching account is missing its destination ID, that line is blocked from syncing until you fix the mapping.

Step 4: Create a GL Sync configuration

From the Advanced Revenue Summary report, open GL Sync and create a new configuration.

  1. Choose the connected destination (general ledger) to sync to.
  2. Confirm the Advanced Revenue Summary report the configuration should read from.
  3. Choose the sync mode: Manual or Scheduled (see Step 5).
  4. Set any optional provider settings: QuickBooks Class, NetSuite dimensions, Sage Intacct dimensions, or Xero Tracking Category (see Step 7).

If a configuration already exists that would sync the same report scope to the same destination, Maxio flags it and asks you to confirm before creating a duplicate. This guards against posting the same journal entry twice.

Step 5: Choose manual or scheduled sync

  • Manual: you trigger each sync from the report or the GL Sync panel.
  • Scheduled: Maxio runs the sync automatically on a cadence you choose (daily, weekly, or monthly), at a specific time and timezone.

Switching a configuration to Scheduled before it has ever completed a successful sync requires an extra confirmation if the first scheduled run would cover more than one period. This prevents an unattended first run from posting a larger backlog of periods than you expect.

Step 6 (optional): Enable workpaper attachments

If your destination supports it (see the attachment column in Supported General Ledgers for Advanced Revenue Summary GL Sync), enable Include workpaper attachment on the configuration and choose a format. Currently, the attached file is always generated as CSV regardless of the format selected; PDF generation isn't available yet.

On destinations that don't support attachments, the journal entry still syncs normally. The attachment step is simply skipped.

Step 7 (optional): Map dimensions

Depending on your destination, you can apply a dimension to every line the configuration posts.

Run your first sync

Use Preview to review the journal entry Maxio will post before committing it, then run Sync Now. For a Scheduled configuration, confirm the next scheduled run time on the configuration before you leave it unattended.

After the sync completes, check the period's status from the report or the GL Sync history panel, and confirm the journal entry in your general ledger.

Disable GL sync

Once you've finished setting up GL Sync, disabling a configuration stops future syncs (manual and scheduled) without deleting its history. Sync run history is retained for audit purposes and can't be permanently deleted while a configuration still references it. Disable the configuration or its report mapping instead of trying to remove historical runs.
