Configure the Finance Summary Report

Use the Finance Summary Report to see revenue, invoicing, Deferred Revenue, and Unbilled AR totals for compiling financial reports. It's based on Transaction Revenue Schedules and Invoice Line Items.

Important: This report doesn't use the Transaction Amount (value) in any computations.

The Finance Summary Report also provides the journal entries needed to record revenue for your income statement, including the debits and credits to Deferred Revenue and Unbilled AR. Hyperlinks in the Computation column let you drill down to detailed records.

Configure options

Go to Reports > Add Report > Finance Reports > Finance Summary to open the report builder. This report includes the following configuration options.

OptionDescription
Currency PresentationChoose Home Currency or Local Currency. Only appears if multicurrency is enabled in your account.
RegistersSelect one or more Registers. If none are selected, all are included. If you only have one Register in your Maxio Platform account, this field is hidden (only when multicurrency isn't enabled for your account).
Filter on Accounts or ItemsYou can run the report by Accounts or by Items. You can select specific Accounts or Items, but not both. In either case, if you select no Items or no Accounts, then all Items are included.

Aggregate OptionChoose Aggregate (default) to run the report with results for the selected Accounts or Items combined, or Individual to run the report once per selected Account or Item.
Selecting Individual requires choosing between 1 and 10 Accounts or Items, and forces Output Format back to Table.
Calculate BySelect Customer Contract or Customer.
Important: This setting significantly affects how Deferred Revenue and Unbilled AR are calculated when a Customer has more than one Contract. If you use Contracts for GAAP revenue recognition, always select Customer Contract. The Customer option can produce calculations that aren't GAAP compliant. For more detail, see Calculating by "Customer Contract" or by "Customer".
Date RangeSelect fixed Custom Dates or from one of the date range options.
PeriodicityColumns appear for each of the following periods within the Date Range specified above:
  • Monthly - by calendar month.
  • Quarterly - by calendar quarter, beginning with the Start Month and Start Year of the date range. Calendar quarters vary from 90-92 days.
  • Yearly - by calendar year, beginning with the Start Month and Start Year of the date range. Calendar years vary from 365-366 days.
Absolute ChangeSelect to show the column-to-column change in Deferred Revenue and Unbilled AR.
Revenue and Invoice FiltersSelect one or more filters and appropriate matching criteria to filter in or out relevant Transactions and or Invoice Line Items.

Output FormatChoose whether to display a Table or a chart. Stacked Vertical Bar Chart is recommended; Line Chart, Stacked Area Chart, Vertical Bar Chart, Horizontal Bar Chart, and Stacked Horizontal Bar Chart are also available.

Report results

Unrecognizable Revenue for Period and Total Revenue for Period are hidden together if Unrecognizable Revenue for Period is zero across every period in the report, since Total otherwise just duplicates Recognizable Revenue for Period. The same applies to Unrecognizable Revenue to Date and Total Revenue to Date. All other rows are always shown.

Recognizable Revenue for PeriodThe recognizable revenue for the defined period. Excludes Transactions with the Recognize field set to No.
Unrecognizable Revenue for PeriodThe unrecognizable revenue for the defined period. This is the sum of revenue in this period for Transactions with Recognize set to No.
Total Revenue for PeriodThe sum of Recognizable Revenue for Period and Unrecognizable Revenue for Period.
Total Recognizable Revenue to DateThe sum of recognizable revenue from the very first revenue entry in your account through this period. This is a report-wide, life-to-date (end of period) running total, not broken out by Customer Contract. It excludes revenue from Transactions where Recognize is set to No.
Unrecognizable Revenue to DateThe balance of unrecognizable revenue as of the end of this period. This includes revenue for Transactions where Recognize is set to No.
Total Revenue to DateThe sum of revenue from the very first revenue entry in your account through this period. This is a life-to-date (end of period) running total and includes revenue from Transactions where Recognize is set to No.
Invoices for PeriodThe sum of all Invoices for the defined period.
Invoices to DateThe sum of all Invoices from the very first Invoice in your account. This is a life-to-date (end of period) running total.
Deferred RevenueThe sum of Deferred Revenue with a positive balance, grouped by whichever Calculate By option you selected (Customer Contract or Customer).
Deferred Revenue change from prior periodThe net change in Deferred Revenue from the prior period. Only shown when Absolute Change is enabled.
Unbilled ARThe sum of Unbilled AR with a positive balance, grouped by whichever Calculate By option you selected (Customer Contract or Customer).
Unbilled AR change from prior periodThe net change in Unbilled AR from the prior period. Only shown when Absolute Change is enabled.
Journal EntriesThe Debits (Dr) and Credits (Cr) needed to record the related revenue: Cr Income, Dr Deferred Revenue, Cr Deferred Revenue, and Dr Unbilled AR.
