Provide Processing Statements for Underwriting Review

Provide monthly payment processing statements during Maxio Payments underwriting to help verify your transaction history, refund activity, chargebacks, and processing volume. Complete statements help Maxio review your account more efficiently and set appropriate payment processing parameters.
What are processing statements?
Processing statements are monthly reports generated by your payment processor that summarize all payment activity on your account. They reflect the details of what actually happened with payments during a given period, including successful transactions, refunds issued, and chargebacks received.
These are different from your bank statements or accounting reports. Processing statements come directly from your merchant services provider or payment gateway and contain the level of detail Maxio needs to understand your payment history.
Why does Maxio request them?
When a business applies for Maxio Payments, we ask for 6 months of previous processing statements as part of the underwriting review, for the following reasons:
- To understand your processing volume and patterns
Processing statements give us a clear picture of your average monthly volume, typical transaction sizes, and any seasonal patterns in your business. This helps us confirm that the processing limits we set are appropriate for your business and that nothing in your history presents an unexpected risk. - To review chargeback and refund history
Refund and chargeback activity gives us a general sense of your customers' payment experience and helps us understand the nature of your business's transactions. Reviewing this history as part of the onboarding process is standard practice and helps ensure a smooth transition onto the Maxio Payments platform. - To set appropriate account parameters
Processing statement data helps us configure your Maxio Payments account in a way that is tailored to your business's actual volume and activity. Providing complete and accurate statements gives us the context we need to set up your account appropriately from day one. - To support a smooth and faster underwriting review
Incomplete or missing statements are one of the most common reasons underwriting reviews take longer than expected. Providing full statements for the requested period upfront helps us move quickly and avoid back-and-forth requests for additional documentation.
What should be included
A complete processing statement should include:
- Total processing volume for the period
- Number and value of transactions processed
- Refund activity: count and dollar amount
- Chargeback activity: count, dollar amount, and reason codes where available
- Fee breakdown: interchange, scheme fees, and processor markup
If your statement only shows a fee summary or deposit totals, it may not contain enough detail. When in doubt, contact your processor and ask specifically for your monthly processing statements for the requested period.
Locate your statements from common providers
Each processor generates and exports statements a little differently. Find your processor below for specific instructions.
Stripe
Stripe does not produce a traditional processing statement, but the equivalent report is the Itemized Balance Change report, which provides a full breakdown of transactions, fees, refunds, and chargebacks for a given period.
To export this report
- Log in to your Stripe Dashboard
- Navigate to Reports → Balance
- Select Balance change from activity — itemized
- Set the date range to cover the requested period
- Click Export

QuickBooks Payments
For merchants who previously used QuickBooks to manage payments, we will accept statements exported from QuickBooks for the requested duration. These can typically be exported from the Payments section of your QuickBooks account. If you need assistance locating these, contact QuickBooks support.
Authorize.net
For merchants who previously used Authorize.net, transaction and settlement reports can be exported directly from the Merchant Interface.
To export your transaction history
- Log in to your Authorize.net Merchant Interface at https://account.authorize.net
- Navigate to Search & Reports → Reports
- Select Transaction Statistics or Settlement Batch Summary depending on the level of detail needed
- Set the date range to cover the requested period
- Click Download to export

Other providers
If your previous processor is not listed above and you are having difficulty locating your statements, contact your provider directly and ask for:
"Monthly processing statements for [date range] that include transaction volume, refund activity, chargeback activity, and fee breakdown."
Most processors can generate this report on request even if it is not available directly in your account portal.
What if you don't have previous statements?
If your business is new and has no prior processing history, or if you genuinely cannot obtain statements from a previous provider, let your assigned Payments Specialist know as early as possible. In some cases we can work with alternative documentation.
