QuickBooks Desktop Payment Sync Error: You Cannot Pay More Than the Amount Due

A Payment sent to QuickBooks Desktop can fail to sync with an error similar to The "..." field has an invalid value. QuickBooks error message: You cannot pay more than the amount due. This happens when the Payment amount Maxio sends is larger than the balance QuickBooks Desktop currently shows for the Invoice.
Why the Payment amount mismatch happens
Two situations cause the Payment amount Maxio sends to be larger than the balance QuickBooks Desktop expects:
- The Invoice was edited in Maxio after its e-Bill was already sent, and the outdated e-Bill was never deleted and resent. Maxio flags an e-Bill as invalid when the Invoice's balance, subtotal, sales tax, or due date changes after it goes out, but it does not delete or resend the e-Bill for you. If the Customer pays from the stale e-Bill, they pay the original, larger amount, and the Payment Maxio later sends to QuickBooks Desktop no longer matches the Invoice's real balance there.
- A Payment was recorded directly in QuickBooks Desktop against the Invoice. Maxio sends its own Payment's full amount as the request's total and applied-line amounts without first checking QuickBooks Desktop's current balance for the Invoice, so if QuickBooks Desktop already shows a smaller balance because of the manually recorded Payment, the Payment coming from Maxio is now larger than what's left to pay.
QuickBooks Desktop generates the exact wording of this error, including which field it names, so the quoted field can vary; it most often points at the PaymentAmount value in the request Maxio sends.
Fix the mismatch before resyncing to QuickBooks Desktop
Maxio blocks changes to an Invoice's amount once that Invoice has synced to QuickBooks Desktop, so you cannot correct the mismatch by editing the Invoice's balance in Maxio. Instead, work out which system holds the accurate balance and correct the Payment side to match it.
To fix a mismatch from an outdated e-Bill
- In QuickBooks Desktop, open the Invoice and confirm its current balance.
- In Maxio, delete the outdated e-Bill and generate a new one from the Invoice's current balance.
- Send the new e-Bill to the Customer, and issue a Credit Memo or refund for any amount the Customer already paid against the old e-Bill.
You can fix a mismatch caused by a Payment recorded directly in QuickBooks Desktop the same way, as long as the periods involved are still open.
To fix a mismatch from a Payment recorded directly in QuickBooks Desktop
- Confirm the Payment that was recorded directly in QuickBooks Desktop and the balance it leaves on the Invoice.
- Delete whichever Payment record does not reflect what the Customer actually paid.
- Record the correct Payment in Maxio and resync it to QuickBooks Desktop.
If the period is closed and you can no longer modify the Payment recorded in QuickBooks Desktop, leave that Payment in place and issue a Credit Memo or refund in Maxio for the remaining variance instead of trying to edit it.
Prevent Payment amount mismatches
Two habits keep this mismatch from recurring:
- Record Payments in Maxio and let them sync to QuickBooks Desktop, rather than entering them directly in QuickBooks Desktop.
- Whenever you edit an Invoice in Maxio after its e-Bill has already gone out, delete the existing e-Bill and send a new one right away, since Maxio flags the e-Bill as invalid but does not resend it for you.
